Making Your Data More Valuable

Have you been challenged with finding information in your data sources (libraries/databases)? Why is it that in an accounting, payroll, product or similar system you can always find what you are looking for if it is there?

I believe the answer is simply that in those types of data sources you not only know what you are looking for but your data has been captured and then processed in such a way to allow you to find what you are looking for.  Data stored in these types of databases have been captured with metadata that is commonly used within the organization to retrieve that particular record or  information. These data source's fields and corresponding values (a.k.a. metadata) where preselected at the time the data source was created to specifically serve the function of retrieval, based on the content of the data source and how the data was going to be used. Not surprisingly you will find this type of data source to be what is commonly referred to as "structured data".

When it comes to a data source with "unstructured data" this task is more difficult because the use of the data is generally not specific to a single function like, for instance, a "Parts" database would be. Additionally, the data making up these data sources are electronic files containing anything from office documents and emails to images, videos and anything else captured during the normal communication and collaboration processes within an organization.

The solution to dealing with unstructured data is to provide a common structure to the data being captured by using all the data available from the source and adding any business knowledge directly from the business unit that will be using the data. Additionally, the methodology supporting the solution needs to be flexible by allowing it to support changes to the current business need, future requirements and is able to address previously processed data, and last but not least keep cost down by allowing for changes to take place quickly without involving end users..

Six Things Everyone Should Know about Optical Character Recognition (But Didn't Know Who To Ask)

Optical Character Recognition or OCR technology is the electronic conversion or translation of visual text (typed, handwritten or machine printed) into "machine-encoded' text. The intent of this conversion is to leverage the resulting information using other computer facilities such as machine translation, full-text searching, converting text to speech, automatic document classification and metadata tagging, data mining and myriad other capabilities. For those of you that don't know what SharePoint is here is a quick overview: SharePoint is a product and a technology from Microsoft that allows people to share information.

In reality - SharePoint is much more than this, but if you don't know what SharePoint is this should be enough.

For those that DO know what SharePoint is and does I hope you read on. In my opinion SharePoint can be morphed into almost any solution imaginable. The reason I say this is because of the role partners play and because Microsoft has created SharePoint to be.....Full Article.

Word from CDI's President

Juan J. Celaya

First and foremost I want to thank all of you for your continued support and wish you the very best in 2011.

The 2010 year brought many good things to CDI as the company continued to grow and position itself to be known in the commercial market place, and to local, state and federal government agencies. CDI achieved a number of important objectives in 2010 towards its growth in the government market place.

In mid 2009 CDI established a business relationship with a small business concern by the name of The Richwood Group Company (TRG). TRG is a Woman Owned, Service Disabled Veteran Company based in Florida which is working with us to market and sell specifically to government agencies throughout the U.S. The CDI/TRG team has already been successful in its endeavor and was awarded a contract in early 2010 for a project with the U.S. Army. We successfully completed the project in time and within budget, but the most important part of the project is that it was a success for our customer.

In addition to our Teaming Agreement with TRG, all of our products and services will also be made available in their GSA schedule #GS-35F-0076X. Making our products and services available through the GSA will help our current and future Federal Government customers acquire our products and reach us for the successful delivery of their ECM needs. Other government agencies will also benefit from TRG's GSA schedule; a major advantage for CDI. TRG's schedule is setup so that State and Local government entities throughout the U.S. can also acquire any of the offerings in the  GSA schedule at the special prices setup by TRG for the U.S. Government. State and Local government entities are eligible to purchase from TRG's GSA Schedule under the following programs:
  • Cooperative Purchasing;
  • Disaster Recovery Purchasing; and
  • 1122 Program
We continue to work with TRG to reach out in the government market space to successfully deliver CDI's expertise, services and products throughout the U.S.

At the end of 2010, CDI was also selected by the Council of Competitive Government to provide preservation services on the Digital Imaging Services Master Contract for the state of Texas. Although this award is focused only in the state of Texas it expands on CDI's commitment to the preservation and access of the world's knowledge through technology and proven methodologies.

I expect great things in 2011 and I am very excited about the opportunities for CDI. As the year moves on I look forward to keep you up-to-date on our customer's successes and hope you will benefit from these experiences.

Stop The Finger -Pointing! While Reducing

Maintenance Cost (and your blood pressure)

by Bill LaPorte

For many of us, our unique business requirements generally dictate the procurement of equipment from different manufacturers when building an IT infrastructure. Our servers come from one manufacturer, perhaps the storage from another, scanners from somebody else, and so on. While this can be beneficial in terms of getting the best value overall in terms of performance and initial price...Full Article.

Is There an Ideal Capture Strategy for SharePoint?
by Jeff Shuey, Director Business Development, Eastman Kodak Company

How should buinesses think about processing both paper and
electronic documents? Is there a best way? Is there a right way?

The Simple Answer.....No!

There is no "ideal" capture strategy that will work for and apply to every business. Every business has a unique need for scanning (aka capture), processing and categorizing content.

Some businesses may seek to go completely paperless. This is an admirable goal and one that might work for certain businesses. The fact is that paper will continue to enter the business-recipts, invoices, purchase orders, and yes mail too. The Good News.......

Do you already have what it takes to deal with
Exchange emails?
by Juan J Celaya

Managing and searching for emails has always been a headache for many including me. This is compounded when dealing with hundreds of emails generated by tens or hundreds if not thousands of mail boxes that must be monitored for duplicates and most important for compliance with Records Management and eDiscovery rules. If you search the Internet you will find......More.

Down the Rabbit Hole! (CDI ventures into Social Media Venues)

by Bill LaPorte

When I first discussed delving into the world of social media with our CEO, I have to admit that I was pretty skeptical. It wasn't so much that I am against SM venues, but that I failed to see that there was any business benefit in spending the time and effort to develop a COMPU-DATA International presence there. Persistent and persuasive as always, Juan asked me to help bring the company into this 'new' world and so, off I went to research and write and organize. What I found was pretty incredible.........

Integrating Disparate Data Sources with CMIS & CADI™

My blog article on Content and Data Integration™ highlights some of the technical issues and considerations the CADI™ methodology addresses with regards to the volumes of data that exist and with which we must deal with. The uncertainty of "does the concept really work" or the stigma of being the first to implement this new approach ties directly to our constant fear of failure. Allowing fear to define one's actions has never been a part of my play book, however, calculated risks, testing and a belief of what will work has been my guiding light.

When our company got into the search and retrieval market in 1992, I believed the technology was perfect for providing access to network accessible information that was stored throughout the organization.  I have found the three main problems to be:

1. How to maintain accessibility while ensuring security.
2. Maintain access to updated information.
3. Ensure the process is not proprietary so we are not held hostage.

Go to CDI's blog - CADI's Corner™ - to read the rest of this article and find more information on CADI™ related topics or contact me and I will be happy to provide you with details.

The Institute of Heraldry (TIOH) Celebrates 50th Anniversary with High Tech Content management

TRG and CDI Complete Digital Conversion and SharePoint DMS/Workflow Implementation for the US Army

The Institute of Heraldry at Fort Belvoir, Virginia celebrated their 50th anniversary with pride an enthusiasm this month. At the same time, they were just finishing up a large digitization/convertion project as well as the  initial implementation of a SharePoint portal for desktop access to their working documents and an automated heraldic design workflow.

CDI and The Richwood Group, Company scanned over 1.6 million pages using Kodak scanners and software, converting paper files to high quality images and searchable PDF files allowing artist, technicians and managers to access project files directly from their desktop. These files consisted of original artwork, manufacture's drawings, specifications, policy documents and correspondence. The team also migrated tens of thousands of documents in digital format from the TIOH's aging, end-of-life document management system.View Complete Article.

It's All About the data: Some Guidelines for Capture and document Processing into a SharePoint Environment

by Bill LaPorte

There is a tremendous amount of debate on the internet about the viability of using Microsoft SharePoint as an ECM or DM platform.  There are the advocates who state that SharePoint is the be-all, end-all solution; the Holy Grail if you will.  Then of course, there are the opponents who vigorously argue SharePoint will never be capable of being an enterprise wide solution in this regard.  As with political and religious debate, the arguments are perpetual but the truth always seems to fall somewhere in between the respective positions.  While it may be true that SharePoint is not robust enough in its own right as an ECM suite, Microsoft read the writing on the wall and begun adding ....

Document File Compression: Why it's an Issue (Again)

Contributed by Joe Siegal of I.R.I.S., a CDI partner

As technology speeds into infinity at Warp Factor three, I am sure all of us can remember when data storage was small and expensive (in relative terms).  I remember I did an installation for the U.S. Air Force of racks and racks of RAID storage devices that nearly filled a room that I could now sit on the corner of my desk!

As storage evolved, file size, format and compression techniques began to play an important role in keeping your (online) mass data storage requirements in check.  This was particularly true when dealing with image files since they were huge compared to text or other data files.  So what did we do?........
